Copilot Chat Training

If you've opened Copilot Chat once, typed a question, and weren't sure what to do with the answer -- or you haven't opened it at all -- this course turns it into a tool you reach for every day. The course moves app by app. You start with how Copilot Chat works and how to ask it well, then put it to work on a Word report, an Excel dataset, a PowerPoint outline, an Outlook email thread, and a Teams channel. Each stage builds on the one before it, so by the end of the four hours you're not just aware that Copilot Chat exists -- you have a repeatable way of using it on the documents, spreadsheets, emails, and messages you handle every week.

Course Content

Getting Started with Copilot Chat

  • Where to find Copilot Chat on the web, in the Microsoft 365 Copilot app, and on mobile
  • Signing in with your work account
  • A tour of the Copilot Chat screen
  • What Copilot Chat can see and what you need to share with it
  • Managing and renaming conversations
  • Copilot Pages for work you want to keep and share

Hands-on exercise: You sign in, hold a first conversation and refine it with a follow-up question, rename the chat so you can find it later, and turn a response into a Copilot Page you edit directly.

Copilot Chat with Word

  • Drafting a new document from a goal, audience, and tone
  • Summarizing a long report for a busy reader
  • Rewriting for concision, tone, and plain language
  • Comparing two drafts to catch changes in meaning
  • Working through long documents section by section
  • Building a reusable style snippet for your organization's voice

Hands-on exercise: You draft a document from scratch, summarize a multi-section business report, rewrite a paragraph three ways, compare two versions of the same text, and build a style snippet you can reuse.

Copilot Chat with Excel

  • Uploading a spreadsheet and asking questions in plain language
  • Getting formulas written and explained from a description of your columns
  • Formulas worth recognizing (lookups, SUMIFS, IF, IFERROR)
  • Diagnosing common errors like #N/A, #REF!, #VALUE!, and #DIV/0!
  • Generating sample data
  • Planning a cleanup of messy data
  • Choosing a chart and writing the narrative that goes with it
  • Verifying totals and assumptions before you trust them

Hands-on exercise: You analyze a 400-row regional sales workbook, get a formula written and test it, diagnose a broken formula, and plan a cleanup of a messy customer list.

Copilot Chat with PowerPoint

  • Building a slide-by-slide outline
  • Moving an outline into PowerPoint with Outline View
  • Applying Design Ideas for layout
  • Speaker notes and audience-specific openings
  • Organizing a deck as situation, complication, and resolution
  • Running an accessibility and inclusive-language pass

Hands-on exercise: You build a five-slide outline, bring it into PowerPoint, write speaker notes for a slide, restructure the deck as a story, and run an accessibility pass.

Copilot in Outlook

  • Drafting replies with Copilot in Outlook or with Copilot Chat alongside it
  • Summarizing long threads into decisions, open questions, and owners
  • Triaging a busy inbox
  • Preparing for meetings and writing follow-ups
  • Drafting a firm escalation
  • Keeping email content private

Hands-on exercise: You summarize a multi-message thread and draft a reply, triage a batch of subject lines, turn rough meeting notes into a follow-up email, and draft an escalation. Whether or not Copilot is built into your Outlook, you leave with a workflow that works.

Copilot Chat with Teams

  • Drafting channel posts and chat messages for the right audience
  • Summarizing a busy thread and attributing decisions correctly
  • Turning a discussion into documentation on a Copilot Page
  • Status updates and stand-up prep
  • Escalating blocked work politely

Hands-on exercise: You draft a channel announcement, summarize a channel thread into bullets and action items, save the decision as a reference note, and build a stand-up update tailored for peers and for leadership.

Prompting Well

  • The Goal, Context, Source, and Format framework
  • Weak and strong prompts side by side
  • Five reusable prompt patterns: summarize, draft, transform, brainstorm, and critique
  • Persona prompts for sharper feedback
  • Iterating with follow-up instead of starting over
  • Prompt habits to avoid

Hands-on exercise: You rewrite a weak prompt from your own week using the framework, run both versions, and compare the results.

Using Copilot Chat Responsibly

  • Why a confident answer can still be wrong
  • Protecting sensitive and customer information
  • A quick decision tree for what to paste in
  • Attribution and originality
  • Case studies of well-meant mistakes
  • A 30-second check before you send

Hands-on exercise: You work through case studies and practice the decision tree and the 30-second check on sample content.

Department Playbooks

  • Role-based workflows for sales, HR, finance, marketing, operations, customer support, IT, legal and compliance, and procurement
  • A worked prompt and sample output for each
  • The most common mistake to watch for in each department

Hands-on exercise: You pick the playbook closest to your role, adapt its sample prompt with your own details, refine the result with a follow-up, and name one workflow you will use next week.
